In-Kind Partnerships Coordinator — Volunteer
RoyalHacks
RoyalHacks is Denmark's first national student hackathon. In April 2026 we ran the first edition at ITU with 62 participants, 5 university partners (ITU, KU, DMJX, AAU, and AU), 13 corporate partners, and funding from Tuborgfondet. RoyalHacks takes place over a weekend, and it's free for all university students to attend.
We bring together students with an interest in digital technologies and give them 24 hours to invent an idea and turn it into a functional product.
We're recruiting volunteers into our organizing team to help us plan RoyalHacks 2027, which will also take place in April.

The role
We're looking for an In-Kind Partnerships Coordinator to lead the in-kind partnership process for RoyalHacks 2027.
Your focus will be on securing products and services that help us deliver a great hackathon experience without increasing our financial costs unnecessarily. This could include food and drinks, merchandise, gifts for participants, event materials, and other useful contributions from companies and organisations.
You'll be responsible for the entire process, from identifying potential partners and making the initial contact to following up, agreeing on contributions, and coordinating the final arrangements.
This is an independent role within Event Operations. You'll have clear ownership of your area and the freedom to organise your work, prioritise opportunities, and build relationships with potential partners. Other team members may suggest companies or share leads, but you'll be the main point of contact responsible for turning those opportunities into confirmed partnerships.
What you'll work on
- Identify potential partners. Research companies and organisations whose products or services could contribute to RoyalHacks, and identify the right contacts to approach.
- Reach out to companies. Write partnership proposals, send outreach emails, and communicate the value of supporting RoyalHacks through in-kind contributions.
- Manage the partnership pipeline. Track contacts, responses, follow-ups, ongoing discussions, and confirmed contributions to keep the process organised.
- Negotiate and confirm contributions. Discuss what partners can provide, align expectations, and finalise the details of each agreement.
- Coordinate deliveries and arrangements. Make sure contributions arrive when needed and that the relevant Event Operations team members know what has been agreed.
- Maintain partner relationships. Ensure clear communication, follow through on commitments, and help make the collaboration a positive experience for everyone involved.
- Explore creative opportunities. Find practical ways to secure useful contributions, reduce event costs, and make RoyalHacks more memorable for participants.
- Represent RoyalHacks at relevant events. Be available to attend relevant conferences and networking events, such as IT Day in March, when needed, to connect with potential partners and explore new in-kind partnership opportunities.
You're right for this role if you
- Enjoy communicating with people and building relationships with external organisations.
- Are proactive and comfortable taking the initiative to contact companies you haven't worked with before.
- Can write clear, professional emails and communicate confidently in English.
- Are organised and able to keep track of multiple conversations, deadlines, and commitments.
- Enjoy finding opportunities, thinking creatively, and turning ideas into tangible results.
- Are comfortable working independently and taking responsibility for a project from start to finish.
- Can manage your time, follow up consistently, and keep others informed of your progress.
- Want to contribute to a student-led initiative that brings people together through technology and innovation.
What you'll gain
- Hands-on experience managing partnerships for a national student hackathon.
- Practical experience in business communication, relationship management, negotiation, and partnership coordination.
- The opportunity to take ownership of a complete function and see the direct impact of your work.
- Experience communicating with companies and professionals across different industries.
- The chance to develop your own approach, test ideas, and build a portfolio of real partnership experience.
- A network of students, organisers, companies, and professionals in the Danish tech community.
- The opportunity to contribute to an event that supports student innovation and collaboration.
When you join RoyalHacks, we'll sit down and agree on a win-win arrangement: what you're responsible for, what support you need, and what you want to get out of the experience.
You'll have the opportunity to own your projects, suggest improvements, and make decisions within your responsibilities. You'll also work closely with other team members and team leads, with support available whenever you need a second opinion or help solving a problem.
We value accountability, ownership, open communication, and learning by doing. Mistakes are part of the process, and we want our volunteers to feel comfortable asking questions, sharing ideas, and trying new approaches.
Time and place
You'll be involved with RoyalHacks from November 2026 to June 2027. We work both remotely and on location in Copenhagen.
We hold regular team meetings and occasional in-person meetings and social events. We expect volunteers to participate actively in the team's work and communicate openly about their availability.
All team members are expected to be present for the full RoyalHacks event weekend in March or April 2027.
The expected commitment is approximately 8–10 hours per week, depending on your responsibilities. The workload will vary, with busier periods as we approach the main event.
How to apply
Tell us a little about yourself, why you'd like to join RoyalHacks, and what interests you about in-kind partnerships.
We'd love to hear about any experience you have with contacting companies, building relationships, organising projects, negotiating, or managing multiple tasks. However, previous experience isn't essential — tell us what you could bring to the role and what you'd like to learn.
Please include your CV or LinkedIn profile and let us know about your availability between November 2026 and June 2027, including any commitments such as exams, work, or travel.
Internal communications are in English. Both Danish and international applicants are welcome.
