Facilities Supervisor

Based in Holme, Aarhus, the Facilities Supervisor will work closely with the Nordic Facility Manager and support a portfolio of more than 40 locations across Denmark, Norway, and Sweden, including offices, warehouses, and production facilities.
The role is responsible for supporting day-to-day facility operations, vendor management, compliance activities, service performance monitoring, financial administration, and stakeholder engagement. The successful candidate will play a critical role in ensuring service excellence while supporting continuous improvement initiatives across the Nordic portfolio.
During the onboarding period, the Facilities Supervisor will work closely with the current Nordic Facility Manager through a structured knowledge-transfer process, gradually assuming increased responsibility for operational delivery and account support.
What You’ll Do
Facilities Operations
- Support the day-to-day delivery of Facility Management services across the Nordic portfolio.
- Coordinate operational activities and respond to facility-related service requests.
- Support office, warehouse, and production sites in maintaining safe, functional, and compliant workplaces.
- Assist with planned and reactive maintenance activities.
- Maintain accurate facility records, documentation, and operational data.
- Support workplace experience initiatives and continuous improvement activities.
- Coordinate and manage activities performed by external service providers and contractors.
- Monitor vendor performance and ensure service delivery meets contractual requirements.
- Support service reviews and follow-up meetings with vendors.
- Ensure contractors comply with site-specific safety and operational requirements.
- Assist with obtaining quotations and coordinating minor projects where required.
- Monitor and report on Key Performance Indicators (KPIs) and Service Level Agreements (SLAs).
- Support monthly, quarterly, and annual reporting requirements.
- Identify performance gaps and improvement opportunities.
- Ensure service issues are escalated and resolved in a timely manner.
- Support implementation of corrective and preventive actions.
- Support purchase order creation, management, and tracking.
- Assist with invoice approvals and financial reconciliations.
- Support budget tracking, accrual management, and cost control activities.
- Ensure compliance with CBRE and client financial processes.
- Assist in preparing financial summaries and reporting packs.
- Build strong relationships with site contacts, vendors, and internal stakeholders.
- Act as a key point of contact for operational FM-related matters.
- Support client meetings, business reviews, and performance discussions.
- Maintain a high level of customer service and responsiveness.

- Support compliance with CBRE policies, client requirements, and local regulations.
- Assist with Health, Safety, Environment, and Quality (HSEQ) initiatives.
- Support audits, inspections, and compliance reviews.
- Monitor and track corrective actions and compliance-related activities.
- Promote a strong safety culture across all supported sites.
What You’ll Need:
- Experience within Facilities Management, Property Management, Building Operations, Workplace Services, or a related field.
- Strong organizational, planning, and coordination skills.
- Experience working with multiple stakeholders and service providers.
- Understanding of operational and administrative business processes.
- Strong customer-service mindset and stakeholder management skills.
- Proficiency in Microsoft Office applications, particularly Outlook, Excel, Teams, PowerPoint, and Word.
- Professional proficiency in both Danish and English, written and spoken.
- Ability to work independently while managing multiple priorities across several locations.
- Experience supporting multiple locations or a regional portfolio.
- Knowledge of KPI and SLA reporting.
- Experience with purchase orders, invoicing, budget administration, and financial reporting.
- Understanding of Health & Safety, compliance, and operational governance.
- Experience working within a client-facing or outsourced service environment.
- Experience using IBM Maximo or similar Computerized Maintenance Management Systems (CMMS).
- Experience using Coupa (MyBuy) or similar procurement and purchasing platforms.
- Experience leveraging Microsoft Copilot and AI-powered workplace tools to improve productivity, reporting, communication, process efficiency, and operational performance.
