Operations Coordinator

Job Description:
We’re looking for an Operations Coordinator to join our CXM Operations team. In this role, you’ll coordinate day-to-day workforce planning, maintain the integrity of our planning systems, and keep the communication between Operations and Delivery running smoothly. You’ll also explore opportunities to use generative AI to improve how we work.
This role sits at the heart of a fast-moving organisation, where keeping things organised, following through on details, and thinking ahead all make a real difference. You’ll work closely with the Operations Team Lead and collaborate across departments to make sure our people are well-planned and well-supported.
Key Responsibilities
1. Planning & Staffing Coordination

Coordinate recurring communication between Operations and Delivery to ensure alignment on upcoming staffing needs

Attend and support client service and planning meetings, capturing actions and following up on outcomes

Prepare and distribute regular availability updates, giving the wider team visibility on open capacity

Manage the onboarding process for new team members, making sure nothing falls through the cracks
2. Data Quality & Systems

Run regular data quality checks to ensure booking and allocation data is accurate and up to date

Handle employee lifecycle updates across planning systems — joiners, leavers, role changes, and related administration

Maintain team structures and resource profiles in our internal platforms, ensuring alignment with the wider organisation
3. AI & Process Improvement (Emerging Focus)

Explore how generative AI tools can reduce manual workload in day-to-day operations

Test and introduce relevant AI-enhanced workflows to the team

Contribute to building operational playbooks and SOPs that scale as the team grows
What We’re Looking For

Organised and detail-oriented, with a knack for keeping multiple workstreams on track

Degree within either businesss or IT familiarity with IT environments.

Comfortable working with data in spreadsheets and planning platforms

A clear communicator who can coordinate across teams and follow up without being prompted

Curious about how things work and motivated to improve processes where you see friction

Interest in or experience with AI tools (e.g. ChatGPT, Copilot, AI-enhanced workflows)

Comfortable with both Danish and English in a professional setting — Danish is required

A team-oriented mindset — you enjoy working with others and contributing to shared goals
