Your Impact
We are seeking a highly motivated and meticulous Payroll & Accounting Specialist to join our dynamic team in Copenhagen. This pivotal role will be instrumental in ensuring the accurate and efficient management of our payroll operations across Sweden and Finland, while also contributing significantly to our accounting functions. You will report directly to the Nordics Head of HR for payroll matters and have a dotted line report to the Chief Accounting Officer based in Sweden for accounting responsibilities. You will work closely with our Senior Payroll Specialist, Senior Accountant, and Accountant for Nordics, as well as various internal stakeholders (HR, Retail, Accounting, Back Office) and external providers.
Missions
Payroll (Approximately 50%)
- Take ownership of the end-to-end payroll cycle for Sweden and Finland, ensuring strict adherence to local legislation, collective agreements, and internal company policies.
- Prepare, control, and validate all necessary payroll documentation, ensuring accuracy and audit readiness.
- Collaborate actively with the Senior Payroll Specialist and internal stakeholders (Retail, Accounting, Back Office) to identify, develop, and implement strategies for continuous enhancement of payroll efficiency, accuracy, and compliance.
- Accurately process and manage intercompany charges related to payroll, management fees, and other relevant items for Sweden and Finland.
- Oversee and process HR Team expense reports for Sweden and Finland.
- Perform thorough reconciliation of social charges, pension expenses, and all other payroll-related taxes.
- Actively contribute to monthly payroll reporting and support the timely closing of accounts.
- Participate in ad-hoc accounting and HR sub-projects aimed at streamlining processes and improving operational effectiveness.
- Manage the full cycle of vendor invoice processing, including approvals, booking in SAP, and timely payments.
- Create and maintain new vendor records in accordance with central vendor administration processes.
- Accurately book incoming payments from customers.
- Generate and analyze weekly reports on overdue invoices.
- Initiate and send payment reminders as necessary.
- Review, approve, and process employee Travel & Entertainment reports using Concur and SAP.
- Perform comprehensive reconciliations of bank accounts.
- Reconcile intercompany transactions.
- Manage and reconcile Intrastat declarations.

Qualifications & Experience
- Bachelor's or Master's degree in Finance, Business Administration, or a related field.
- Ideally, 3+ years of progressive experience in an accounting and payroll role within an international and fast-paced environment.
- Essential: Demonstrated expertise in managing full payroll cycles for at least two of the Nordic countries (Sweden, Finland, Norway, Denmark), with a strong preference for candidates with comprehensive knowledge across all four.
- Solid understanding and practical experience with core accounting principles, including Accounts Payable, Accounts Receivable, and complex reconciliations.
- Proficiency in ERP systems, preferably SAP.
- Hands-on experience with Travel & Expense management software, such as Concur.
- Advanced analytical skills, with an unwavering commitment to accuracy and attention to detail.
- Excellent knowledge of Microsoft Office (particularly Excel)
- Exceptional communication and interpersonal skills, enabling effective collaboration with diverse internal and external stakeholders.
- Proven ability to work autonomously, prioritize tasks effectively, and manage multiple responsibilities in a dynamic setting.
- A proactive and innovative mindset, consistently seeking opportunities to identify and implement process improvements.
- Dealing with ambiguity
- Languages: Fluent in English (both written and spoken). Knowledge of a Scandinavian language (Danish, Swedish, Norwegian, or Finnish) is a significant advantage, particularly for effective engagement with local regulations and teams.
