As a Management Assistant, you will work closely with our SVP in Group Sustainability, Procurement and Workplace, Marie-Louise Christiansen Borly and with our CIO in IT, Digital and Processes, Jerrik Bagger Sørensen, providing essential support in managing priorities, projects and time. The combination of the two functions comprises over 250 skilled professionals who play a vital role in COWI’s business and development.


Your engaged approach will be essential in promoting effective communication and collaboration across these two functions in COWI.


Your key responsibilities will be:

  1. Maintaining oversight of key deliverables with the appropriate members of the two leadership teams, ensuring timely and high-quality submissions of material to relevant stakeholders.
  2. Keeping track of key milestones, follow-ups and preparation needs critical initiatives and activities involving the SVP and CIO.
  3. Preparing and assisting in gathering meeting materials, including presentations for the Leadership Team, and other leadership meetings for the SVP and CIO.
  4. Facilitating meeting/event planning, calls and agendas, including meeting rooms and equipment as a primary support point.
  5. Managing operational matters and administrative tasks such as budget coordination, invoice approval, travel dashboard, calendar coordination and settlements, incoming emails, and communicate on behalf of the SVP and CIO when necessary.

We seek a professional skilled in forward-thinking planning, accuracy and professional interactions with internal/external stakeholders. You will ensure a motivated and structured approach, involving the right people at the right time to maintain momentum and meet deadlines.


The ideal candidate for this position possesses the ability to stay several steps ahead of our SVP and CIO, to enable our SVP or CIO to spend time on the most important priorities during the week.


Effective collaboration with colleagues is essential and experience in either of the functions or the consultancy industry is a plus, not a requirement.


On top of that, you have:

  1. Solid working experience as a Personal/Executive Assistant to senior leaders and experience working in a complex stakeholder environment.
  2. A solution-oriented mindset and proficient portfolio management skillset with the ability to prioritise based on the SVP or CIO’s responsibility, objectives and key milestones.
  3. Sound judgment, a high level of integrity and the capacity to manage highly confidential and sensitive information with appropriate discretion.
  4. Effective interpersonal skills, maturity, and the ability to navigate challenges during stressful situations and in busy periods of time.
  5. Solid written and verbal communication skills in English (Danish is not a requirement), with the ability to articulate clearly and professionally, when engaging with senior leadership.
  6. Proficiency in Microsoft Office, specifically Word, PowerPoint, SharePoint, Excel, Outlook and Teams.
  7. Willingness to work primarily from the office, with flexibility and motivation to ensure priorities are met also during peak periods
