As an Executive Assistant, you will work closely with our SVP of People and Organisation, Pia Irene Andreasen, providing essential support in managing priorities, projects and time. The People and Organisation function comprises over 100 skilled professionals who play a vital role in COWI’s business and development.
Your engaged approach will be essential in promoting effective communication and collaboration across People & Organisation and COWI.
Your key responsibilities will be:
- Maintaining oversight of key P&O deliverables with the appropriate members of the People & Organisation Leadership Team, ensuring timely and high-quality submissions to ELT, committees and the Board of Directors.
- Keeping track of key milestones, follow-ups and preparation needs for critical initiatives and activities involving the SVP.
- Preparing and assisting in gathering meeting materials, including presentations for the Executive and Senior Leadership Team, and other leadership meetings for the SVP.
- Collaborating closely with the Executive Office and Communication & Branding team to plan COWI’s key leadership seminars and meetings.
- Facilitating meeting/event planning, calls and agendas, including meeting rooms and equipment as a primary support point.
- Managing operational matters and administrative tasks such as budget coordination, invoice approval, travel dashboard and settlements, incoming emails, and communicate on behalf of the SVP when necessary.

We seek an experienced professional skilled in forward-thinking planning, accuracy and professional interactions with internal/external stakeholders. You will ensure a motivated and structured approach, involving the right people at the right time to maintain momentum and meet deadlines.
The ideal candidate for this position possesses the ability to stay several steps ahead of our SVP People and Organisation, to enable our SVP to spend time on the most important priorities during the week.
Effective collaboration with colleagues is essential and experience in a People & Organisation function or the consultancy industry is a plus, not a requirement.
On top of that, you have:
- Solid working experience as a Personal/Executive Assistant to senior leaders and experience working in a complex stakeholder environment.
- A solution-oriented mindset and proficient portfolio management skillset with the ability to prioritise based on the SVP’s responsibility, objectives and key milestones.
- Sound judgment, a high level of integrity and the capacity to manage highly confidential and sensitive information with appropriate discretion.
- Effective interpersonal skills, maturity, and the ability to navigate challenges during stressful situations and in busy periods of time.
- Solid written and verbal communication skills in English (Danish is not a requirement), with the ability to articulate clearly and professionally, when engaging with senior leadership.
- Proficiency in Microsoft Office, specifically Word, PowerPoint, SharePoint, Excel, Outlook and Teams.
- Willingness to work primarily from the office, with flexibility and motivation to ensure priorities are met also during peak periods
