Core Responsibilities
The broader Procurement organisation operates across LEGO hubs and sites including Billund, Singapore, Shanghai, Enfield, London, and Shenzhen, as well as manufacturing locations in the Czech Republic, Hungary, China, and Mexico.
The Executive Assistant enables the VP of Sustainable Sourcing and the VP of Materials & Packing to operate effectively and focus on strategic priorities by providing proactive, high-quality administrative and operational support. The Executive Assistant acts as a trusted partner, managing schedules, coordinating communications, supporting team activities, and anticipating needs, whilst helping ensure smooth day-to-day operations and efficient execution of business priorities.

The ideal candidates have extensive experience as a Personal Assistant to senior executives within large, multinational organisations—ideally supporting more than one leader. They come with proven experience with independently managing time, prioritise conflicting demands, and navigate shifting priorities with flexibility, structure, and a sharp attention to detail.

Core Responsibilities
- Provide high-level administrative support to two senior leaders the VP of Sustainable Sourcing and the VP of Materials & Packing.
- Manage 12-month rolling calendars, including scheduling 1 1s, leadership meetings, corporate events, team gatherings, and ad hoc meetings. Anticipate needs and propose solutions to avoid scheduling issues, workload bottlenecks, or communication gaps.
- Organise end-to-end travel arrangements, including itineraries, accommodations, and visa requirements.
- Process and track expense reports and raise purchase orders in a timely manner.
- Be the primary point of contact for internal and external stakeholders, representing the VPs with professionalism and discretion.
- Proactively monitor and manage shared drives and ensure information is organised and accessible.
- Support the onboarding process for new team members and help foster a collaborative, inclusive team culture.
- Assist in preparing and finalising presentations and meeting materials.
- Track and follow up on key actions from email correspondence and meeting discussions.
- Participate in and support cross-functional projects that contribute to both the function and your personal development.

- Technically proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and comfortable learning new digital tools.
