We are looking for an Executive Assistant to the FUJIFILM Life Sciences (FFLS) Corporate Quality Office to provide comprehensive support to ensure the Senior Director; Head of Corporate Quality Office's productivity and efficiency. This role involves coordinating schedules, handling correspondence, and prioritizing tasks.
The ideal candidate is highly organized, detail-oriented, and possesses exceptional time management and communication skills. This position is critical in enabling the Senior Director; Head of Corporate Quality Office's focus on strategic initiatives and high-priority responsibilities.

Principal Accountabilities
- Keep track of action items, follow-ups, and deadlines resulting from e.g. meetings, projects, and audits.
- Coordinate with relevant parties to ensure timely completion of tasks and facilitate effective communication.
- Assists the Senior Director; Head of Corporate Quality Office's and the Principal Quality Officers in travel arrangements
- Assists the Senior Director; Head of Corporate Quality Office's and the Principal Quality Officers in budget/invoice related tasks as required
- Gather, analyze, and synthesize information from various sources to prepare briefing materials, presentations, and reports for meetings and presentations.
- Ensure FFLS Corporate Quality Office is informed about FDA Warning Letter and Inspection Observation Trends, along with potential current themes and focus areas of particular interest to regulatory authorities.
- Ensure the Senior Director; Head of Corporate Quality Office's is well-prepared with relevant information for important engagements.
- Collaborate closely with the Senior Director; Head of Corporate Quality Office's to understand objectives and priorities.
- Assist in evaluating tasks and commitments, recommending task delegation, rescheduling, or removal to optimize the Senior Director; Head of Corporate Quality Office's time utilization.
- Act as stand-in/support for Executive Assistant to the CQO/EVP/Head of Corporate Quality as required.
- Bachelor’s degree in Business Administration, Management, or a related field, or an equivalent background combining education and substantial administrative experience within a technical or scientific environment.
- Minimum of 5 years as an Executive Assistant, supporting C-Suite or Senior Executives
- Proven experience in the MD, Biotech, or Pharmaceutical industry within the Regulatory Affairs and/or Quality Assurance Areas
- Excellent organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- Strong written and verbal communication skills, including exceptional email etiquette.
- Proficiency in using office productivity tools such as Microsoft Office, calendar management software, and email platforms.
- Exceptional attention to detail and accuracy.
- Ability to exercise sound judgment and make decisions independently.
- Discretion and professionalism in handling confidential matters.
- Adaptability and willingness to adjust tasks in response to changing priorities.
- Strong interpersonal skills and the ability to collaborate effectively with internal and external stakeholders.
